Five follow-up jobs a small business should automate first

The routine messages that are easy to hand to a workflow, in the order that pays back fastest.

Automation has a reputation for being complicated. Most of what a small business needs is not. It is the same handful of messages, sent at the same moments, that someone currently has to remember. Here are five worth setting up first, in order.

1. The instant reply

When someone sends an enquiry, they should hear back straight away: we have your message, here is what happens next, here is when you will hear from a person. If your prices are simple, include them. This one message stops people from sending the same enquiry to three of your competitors while they wait.

2. The alert to you

An enquiry that lands in an inbox you check twice a day is a slow enquiry. Have new leads sent to wherever you actually look, which for most owners is WhatsApp or a text. Include the name, what they want and a link to reply, so you can answer from wherever you are.

3. The record

Every enquiry should be written down somewhere automatically: a spreadsheet row or a card in a simple pipeline, with the date, the source and the status. Without this you cannot answer basic questions, such as how many enquiries came in last month or how many became paid work.

4. The reminder

Missed appointments cost a service business real money. A reminder the day before, with the time, the address and a way to reschedule, prevents many of them. If you take deposits, send the receipt and the reminder from the same system so the details always match.

5. The follow-up

Some people ask for a quote and go quiet. Usually they got busy. A short, polite message two or three days later asking whether they have questions brings a share of them back. Send one or two, then stop.

What not to automate

Keep people in the conversation wherever judgement matters: complaints, unusual requests, anything involving a refund. Automation should handle the predictable messages so you have time for the ones that need you. If a customer can tell they are stuck talking to a machine, it has gone too far.

Where to start

Set up the instant reply and the alert together. They take the least effort and close the biggest gap, which is the time between a customer asking and anyone answering. Add the record next, so you can see whether the rest is working.
